Scheduling and Cancellations

What if I need to rent the Center for multiple days, half-days, or a combination of both?

If you need to reserve the Center for multiple days—whether for one hour, a half-day, or full-day— we ask that each date be reserved and paid for separately. This ensures you have the flexibility to choose the specific times you need. Plus, if you must make a change—such as canceling one day—it’s quick and simple to process without impacting the rest of your bookings. It also allows for easy processing of cancellations and refunds in situations where you may only need to cancel one day of a multi-day reservation.

What happens if I need to cancel a reservation?

Cancellation Policy
– Cancellations made at least 72 hours prior to the reservation date are eligible for a full refund.
– Cancellations made between 24 and 72 hours before the reservation date will receive a 50% refund.
– Cancellations made less than 24 hours in advance are non-refundable.

If you cancel your event in accordance with our cancellation policy and qualify for a refund, please contact us directly at (617) 494-1227. Refunds are not automatic; they must be manually processed by our team.

Arbitration Center Technology

Can I bring my own computer? 

You are welcome to bring your own computer(s) and work off of the Center’s secure Wi-Fi. You also have the option of connecting your computer via HDMI cable to the main television (in the judge’s bench). Our camera system is hooked up to a computer that cannot be disconnected. If you wish to use the Center’s camera and mic capabilities for, e.g. a Zoom session, the secure guest login on our Apple computer will allow you to log into any account that you may need to access.

How can I display documents without using my computer?

The Arbitration Center has an Apple desktop connected to the internet and the main television, which will allow guests to log on to any platform that they may need, including Zoom and any cloud-based software. We suggest that you email documents to yourself or save them in a cloud-based service such as Dropbox which you can then log into from the Arbitration Center’s computer for access. We do not allow USB / thumb drives to be used in the Center’s equipment.

How can I prepare to ensure a smooth setup?

If you intend to use the Arbitration Center’s computer, you will need to know your login information for any software platforms you will be using (and have access to Multi-Factor Authentication as needed). You should also ensure that you will have easy online access to documents you may need to display in order to keep your arbitration / meeting moving smoothly. Please notify us in advance if there is specific (free) software you will need access to which may require installation, so we can have our IT company sign off on the installation (if allowed) prior to your scheduled visit.

Will someone be available to help with technology issues?

Yes. Our receptionist, firm administrator, and law clerk are familiar with the setup and can be available to assist with technological issues that may arise. However, we do not have an IT professional on-site.

Is video recording available?

There is a camera connected to the computer to be used for Zoom or other video conference calls, through which you are welcome to record as allowed by the conferencing service and other attendees, subject to Massachusetts law. Video cameras are also allowed within the Arbitration Center as needed; no recordings may be made in the Firm’s office space outside the Arbitration Center.

Amenities

Is there free parking?

Yes. The Needham Center for Arbitration is located in the offices of Brick Jones McBrien & Hickey in the Bulfinch Building. There is free visitor parking available in the lots to the side or at the back of the building.

Are there breakout rooms available for private conferences?

There is an open meeting area across from the Center which you are welcome to use for brief separate conversations. If you anticipate needing a separate private meeting space for breakout conversations, please contact us to discuss rental of a separate conference room.

Is there a kitchen area available?

There is a kitchenette directly abutting the Arbitration Center which is available for your use during the rental. It is equipped with a sink, single cup coffee maker (with coffee, sweeteners, and creamer available), small refrigerator, trash and recycling.

Are there restaurants nearby?

Yes, there are a wide variety of restaurants from 2 to 10 minutes away. Some of the local restaurants that our office members frequent are Pressed Café, The New England Soup Factory/Modern Rotisserie, Blue on Highland, and Farm Grille. Faster options nearby include Jersey Mike’s, Dave’s Hot Chicken, Chipotle, Just Salads, and Panera Bread. Most of these places, both sit down and fast food, also offer mobile ordering to make pickup faster. We do allow food and drink in the Arbitration Center, pursuant to the Terms and Conditions of the rental.
